A rent receipt should answer six questions without requiring anyone to search a bank statement:

  • Who paid?
  • Who received the payment?
  • How much was received?
  • When was it received?
  • Which property and rent period did it cover?
  • What balance, if any, remains?

What to include on a rent receipt

Add a transaction or check reference when one exists. For cash, a signature from the person receiving the money creates a clearer record.

Some jurisdictions specify the contents of a receipt. New York, for example, requires a written receipt for residential rent paid in cash or by an instrument other than the tenant’s personal check. The receipt must include the date, amount, premises and period covered, and the signature and title of the recipient. The statute also contains timing and record-retention requirements. That is one state’s rule, not a national template. Use it as an illustration of why local requirements matter.

Do not mark a payment as settled before you know its actual status. If a check or electronic payment is still pending, label the receipt accordingly or wait for confirmation.

Rent receipt examples

Full payment

September rent is $2,000 and the tenant pays $2,000 on September 1.

Partial payment

September rent is $2,000 and the tenant pays $1,200.

The receipt should not say “September rent paid” because that implies the full obligation was satisfied. It should state exactly what was received and what remains. Review how to handle partial rent payments before accepting one when enforcement rights may be involved.

One payment covering multiple charges

Suppose the tenant pays $2,075: $2,000 in rent plus a permitted $75 late fee. Itemize the allocation rather than describing the entire amount as rent.

This keeps the rent history accurate and makes disputes easier to resolve.

Cash rent receipts

Cash needs the strongest receipt routine because it does not create its own bank trail.

  1. Count the money with the tenant present.
  2. Create the receipt immediately when local law requires it or as a consistent best practice.
  3. Give the tenant a copy.
  4. Keep your copy with the rent ledger.
  5. Deposit and reconcile the cash promptly.

Massachusetts guidance, for example, says a landlord should provide a signed receipt for cash or money-order payments and identifies information it should contain. See the Massachusetts Attorney General’s landlord-tenant guide.

Is a payment-app notification a rent receipt?

A Zelle, Venmo, or bank notification proves that a transfer occurred. It may not identify:

  • The rental property or unit
  • The rent period
  • How the payment was allocated
  • A prior balance
  • The balance remaining after a partial payment

Create a separate rent receipt tied to the rental record. This is one reason a rent ledger is more useful than a list of bank transactions.

A receipt documents one payment. A ledger shows the running history of charges, payments, and balances.
